Terms and Conditions of Enrolment

Please read our Terms and Conditions of Enrolment at our swim school, ask all the questions you need to understand them fully and then tick the box at the end to acknowledge your understanding.

The Biggest Little Swim School in this document will be known as “we”

1.0 General

  • Terms and conditions are subject to change. Notification of changes will be emailed via enrolment notice
  • 202 Cambridge Street building is a Non-Smoking building, and you must be a minimum of 10 meters from the building to smoke
  • Parents/guardians of students must always remain at the centre.
  • Approved swim nappies only to be worn by infants. This is in accordance with the Department of Health Code of Practice.
  • We encourage people not to wear jewelry while in the water.
  • We encourage the use of swim caps and goggles to maximize learning
  • Band-Aids are not permitted in the pool
  • Hair clips are not permitted in the pool.
  • Chewing gum is not permitted in the facility
  • We shall not be held liable for any loss, damage, theft, or injury suffered or occasioned by persons or their personal belongings as a consequence of entry on to the property.
  • By accepting enrolment into a class, it is acceptance of terms and conditions by themselves and parent/guardian.
  • We reserve the right to alter class times due to changing circumstances. All classes have minimum number If you enroll in a class that does not have minimum enrolments, you may be offered an alternative option.
  • We cannot guarantee the same instructor will teach your child every month, or that you will be offered your preferred lesson day and time when enrolling.

2.0 Photography

You are permitted to take photos of your own child only. There cannot be any other patrons in the background of your photo. Camera usage is not permitted in the Centre’s change rooms or toilet facilities under any circumstance

On occasion management will ask permission for you and your child/children to be involved in Promotional Material Photo or Video to be used for:
Online, Video for teacher Training or Newspaper articles, if you do not wish your child to be involved in this please say so at the time your wishes will be adhered to.

3.0. Payment and Enrolment

  • Fees are to be paid in full at the time of enrolment, for the enrolment to be processed. Payments can be made on the web site or over the telephone using a credit card.
  • No part payments for enrolments can be taken.
  • We do not offer discounts for concession card holders or families of 2 swimmers, we do have discounts for families enrolling 3 or more students, these students must be from the same immediate family.
  • Classes operate on a continual basis, payment is made monthly on the 1st of the month by direct debit from your nominated bank account, this payment information is collected upon your first booking and payment and details are stored safely in our payment gateway, payments will be taken in advance.
  • Fees are to be paid in full at the time of enrolment, in order for the enrolment to be processed. First payments can be made on the web site or over the telephone using a credit card, missed lessons can have a makeup class if you wish and a vacancy is available, it’s not compulsory just an extra service we offer, missed lessons can not be transferred into credits or refunds.
  • No part payments for enrolments can be taken.

3.1

Students can enroll during any given month or part of a month, only classes that are left in that month will be charged for, you will be automatically rolled over to the following month.

  • Students currently enrolled are given priority enrolment for changing classes.
  • Fees are as advertised. Payment secures the students place in the class.
  • Fee increases will be notified via the enrolment notices.
  • A minimum of 1 month prepayment is required at the time of enrolment. Non-payment will not secure you place in the class.
  • Classes will not operate on public holidays.
  • If your class falls on a public holiday the cost of the month is automatically adjusted your account is not charged for the class on the public holiday, we are closed for the public holiday only not the days either side of this event,

 4.0 Termination

  • One months’ notice is required in writing to terminate classes is required, this notice must be received no later than 1 month prior to the next payment due date which is the 1st of every month, you will be taken out of the next full month of classes.
  • Notification after this time will result in the student being enrolled for another month and the full month payment being required.

 5.0 Refunds and Credits

Requests for refunds and credits must be made in writing and will only apply where you or your children withdraw from the program for the remainder of the month. Refunds and credits will only be provided under extenuating circumstances that will disallow the participant from continuing lessons.  Documented evidence is required for all refunds (e.g. medical certificate). A $45.00 Cancellation fee will be charged to all granted refunds. Credits will be valid for 6 months only.

6.0 Class Levels

  • All Babies are enrolled as their age on first day of term, these classes are changed as the babies move through the age groups, changing days and times are not required unless your requirements change.
  • We will accept levels from other swim schools, we do our best to convert the skills taught to you to our levels, however reserve the right to move a student to a more appropriate class if deemed necessary.
  • When preschooler’s and Schoolies meet all the skills of the enrolled level a certificate will be available for you to print online at your leisure and a level magnet will be issued, your teacher will issue this pool side and the student will move to the next level, movement may be required to accommodate this change in levels, this may be either a change of time or a change of day depending on availability of classes.

7.0 Missed Lessons

  • We offer 1 make up class per student on notification of absence per month, failure to notify prior to the lesson deems you ineligible for a makeup lesson.
  • Make up lessons must be used within a 3-month period all fees must be paid before makeups can be booked (you must be financial in the month that these classes are requested, makeups are not carried over to the following month if you have chosen to cease lessons), all makeup classes not attended without notification will not be re-offered and are not transferrable to credits or refunded.
  • Bookings are essential for makeup classes; makeup classes can only be booked 1 week in advance.
  • Missed lessons cannot be used or exchanged for financial credit or refund.
  • To arrange make up classes please check class vacancies and advise us by email your preferred day and time, we will book and confirm this by return email. Please note if the class is not available on the preferred date the next available date will be issued and confirmed via booking confirmation from the booking system.
  • Makeup classes can only be booked where a vacancy exists every effort will be made to accommodate your request, however there will be times that classes will not be available.
    For policies regarding absence due to extended holidays please see section 9.

8.0. Sick Students

  • If in doubt, leave them out.
  • Please consider your child’s health as a priority.
  • Students who are unwell do not learn and infect others. Students who are unwell are not permitted to participate in a lesson.
  • We reserve the right to remove a student if the instructor believes the student to be unwell.
  • The Health Department has a list of exclusion times for infectious diseases, these times must be adhered to at all cost for the health and welfare of the other students. A list can be found on Health Department web site.

9.0 Students on Holidays

Where a student will be missing lessons due to a family holiday that is likely to be a month or more there are three options available. a) Give a months’ notice of cancellation and then find a suitable placement on return or b) Pay the months fee and ensure your place will be held for you on your return, makeups will be issued for amount of classes missed. c) pay 1/2 the month fee and hold your spot no makeups on return.

10.0 Transfers

  • Students can transfer to another class at any time if a vacancy exists in that class

 

Privacy Policy

The Biggest Little Swim School as defined by the Privacy Act 1998 will not sell or rent your name or personal information to anyone else. We do not sell, rent or provide outside access to our mailing list at all. We will not release your personal information to authorities unless required by law, search warrant, court order, subpoena, or fraud investigation or the sale of the business upon which your information will be kept secured with the new owners.

The Biggest Little Swim School will not share your information with third parties, only to the extent necessary to provide the services and products requested by you. The Biggest Little Swim School only saves such personal information that is necessary for you to access and use our services. This personal information includes, but is not limited to, first and last name, email address, phone number, child/children’s names and birthdates and document creation data. Upon request, we will delete your personal information.

Your personal information will be used to provide you with the requested services. This includes the use of information for completing transactions or communicating back to you.

The Biggest Little Swim School site is protected by SSL security. This is indicated by the padlock symbol on your browser and means that all data sent between your browser and the server is encrypted, including your log in, profile and credit card details. Credit card transactions are processed immediately using a secure payment gateway to the banking system, so we do not store your credit card details and provide you with instant feedback on the status of a transaction.
